Quoting
The Quoting section is where you create new jobs, price them, send quotes to customers, and track whether you’ve won or lost the work. The Quote Kanban
Navigate to Quoting in the top nav. The default view is a Kanban board with three columns:| Column | Meaning |
|---|---|
| Unpriced | Quote created but no pricing added yet |
| Ready to Price | Ready for someone to add line items and pricing |
| Ready to Send | Priced and ready to send to the customer |
Creating a New Quote
- Click New Quote (top left of the Kanban board).
- Select an existing customer from the dropdown, or type a new name to create a customer on the spot.
- Enter a job description.
- Click Save. The new quote appears in the Unpriced column.
Adding Line Items & Pricing
Open a quote by clicking its card, then use the Edit Work Order button to add:- Line items (substrate, laminate, size, quantity, finishing options)
- Pricing (auto-calculated from your settings, or entered manually)
- Notes and purchase order reference
How AutoCalc Works
When you add a line item, Substrate can calculate the price automatically based on your shop’s rates. AutoCalc uses three values configured by your admin:| Setting | What it does |
|---|---|
| Labour Rate (per sq ft) | Calculates labour cost based on the item’s dimensions |
| Default Margin (%) | Applies a markup on top of material cost to reach your sale price |
| Global Minimum Fee | Ensures no work order is priced below a floor amount |
Sending a Quote
When a quote is in Ready to Send:- Open the work order.
- Click Send Quote (or use the Send button on the card directly).
- A Quote PDF is generated and the job moves to the Sent tab.
The Sent / Review Tab
Click the Sent tab at the top of the Quoting page to see all quotes waiting on a customer response. The table shows: Customer, Job, Date Sent, Days Outstanding, and Value. For each quote, you have two actions:- Won ✓ — The customer accepted. The job moves to the Design Pending tab, ready to start design work.
- Lost ✗ — The customer declined. The job is archived.
