Getting Started with Substrate

Substrate is a job management tool for sign shops — it tracks every job from the first customer conversation through design, production, and invoicing.

The Core Workflow

Every job moves through five stages in order:
Quote → Design → Proof → Work Order → Invoice

QuoteYou’re pricing the job and sending it to the customer for approval
DesignYour designer is working on the artwork
ProofThe design is sent to the customer for approval
Work OrderThe job is approved and in production
InvoiceThe job is complete and invoiced
You move a job to the next stage by clicking the arrow buttons inside the work order detail page, or by dragging its card on the Kanban board.

The Dashboard

The home screen shows stat cards for each active stage. Each card displays the number of jobs currently in that stage and their combined dollar value. Click any card to jump directly to that stage.
The top navigation bar gives you access to the main areas:
  • Quoting — manage quotes, send to customers, mark won or lost
  • Design — track design and proof work
  • Production — move jobs through print, laminate, and production
  • Customers — manage customer records
  • Search — find any work order or customer instantly (magnifying glass icon)

Kanban vs. List View

Most workflow pages offer two views:
  • Kanban (default) — columns representing each sub-stage; drag a card to advance it
  • List — a sortable table for scanning many jobs at once
Toggle between them using the Kanban / List buttons near the top right of each page.

Work Order Numbers

Every job gets a prefix based on its current stage:

The prefix updates automatically as the job advances — the number itself stays the same throughout the job’s life.
